How to delete stages from my pipeline

Deleting a stage from the pipeline in Zoho CRM requires editing the Stage picklist field in the Deals module, removing the value, and reassigning deals that were in that stage. Requirements

  • ·Only administrators can delete Stage picklist values in Zoho CRM.
  • ·It is not possible to delete stages marked as 'Closed Won' or 'Closed Lost', as they are system-required stages in Zoho CRM.
  1. Access Zoho CRM settings

    Click the gear icon (Setup) in the top-right corner of Zoho CRM to open the administration panel.

  2. Go to Modules and Fields

    In the Setup sidebar, under the 'Customization' section, click 'Modules and Fields'. You'll see the list of all modules in your CRM.

  3. Open the Deals module

    Click on 'Deals' to open the module's field editor. Here you'll see all available fields in the sales opportunities module.

  4. Edit the Stage field

    Find the 'Stage' field in the field list. Hover over it and click the edit icon (pencil) to open the field properties editor.

  5. Locate the stage to delete

    In the picklist value list, find the stage you want to delete — in this case 'Proposal Sent'. Hover over that value to see the available options.

  6. Delete the stage value

    Click the delete icon (X or trash bin) that appears next to 'Proposal Sent'. Zoho will show a warning indicating there are deals associated with this stage if any exist.

  7. Reassign existing deals in that stage

    If there are deals in the stage you're deleting, Zoho CRM will ask you to choose a replacement stage. Select the stage those deals should move to (e.g., 'Qualified' or 'Negotiation'). Click 'OK' to confirm the bulk reassignment.

  8. Save the changes

    Click 'Save' to apply the changes to the Stage picklist. 'Proposal Sent' will no longer appear in the pipeline and all deals that were in it will have been moved to the stage you selected.

Frequently asked questions

Can I recover a pipeline stage I accidentally deleted in Zoho CRM?

Not directly. Zoho CRM does not have a recycle bin for picklist values. If you deleted a stage by mistake, you must add it back manually from Setup > Modules and Fields > Deals > Stage. Deals that were automatically reassigned to another stage will need to be updated manually or in bulk from the Deals list view.

What happens to active Workflow Rules that depend on the stage I deleted?

Workflow Rules that had the deleted stage as a condition or action may error out or stop executing correctly. After deleting a stage, review Setup > Automation > Workflow Rules and update any rule that referenced that stage.

Can I hide a pipeline stage without deleting it in Zoho CRM?

Yes. Instead of deleting the picklist value, you can move it to the 'Disabled' section or simply leave it at the bottom of the list without using it. You can also create a custom pipeline view that filters or visually excludes that stage without removing it from the system.
