How to create an automatic lead reminder
In Zoho CRM, reminders for leads are created as Tasks inside the lead record, with a due date and a configured alert. The system will send an automatic notification when the date arrives. In Teeo, one message schedules the reminder without having to find the lead or open forms.
How to do it in Teeo
“Create an automatic reminder for lead John García in 3 days for follow-up”
The reminder is set. You will receive an automatic notification on the specified date.
How to create an automatic lead reminder in Zoho CRM: step by step
Requirements
- ·In Zoho CRM, reminders are created as Tasks or Events within the Activities module. Tasks can have configured alerts that send notifications by email or within the app.
- ·The 'Reminder' field in Zoho CRM tasks allows you to configure how much time before the due date you want to receive the notification (e.g., 15 minutes before, 1 hour before, 1 day before).
- ·You can also create a reminder from the global Activities module (clock icon in the top bar) without needing to open the lead record first.
Search for lead John García in Zoho CRM
In Zoho CRM, use the global search (Ctrl+/ or the magnifying glass icon in the top navigation bar) and type 'John García'. In the results, click on the lead's name to open their full record.
Go to the lead's Activities section
Inside the lead record, find the 'Activities' section. It usually appears as a panel or tab within the record detail view. Here you'll see existing activities and can add new ones.
Click 'New Task' to create a task
In the Activities section, click the '+ New Task' or 'Add Task' button. You can also click the quick action '+' button at the top of the record and select 'Task'. The task creation form will open.
Write the follow-up task title
In the 'Subject' field, write the task name, for example 'Follow-up with John García' or 'Follow-up call'. This title will appear in your notifications and in your pending tasks list.
Set the due date to 3 days from today
In the 'Due Date' field, select the date that is 3 days from today using the calendar picker. For example, if today is Monday, select Thursday. You can also type the date directly in MM/DD/YYYY format.
Configure the automatic reminder
Find the 'Reminder' field in the task form. Enable the reminder and select when you want to receive it: '15 minutes before', '1 hour before', '1 day before', etc. For a reminder on the same day, select '1 day before' if you want advance notice.
Verify the lead is associated as a related contact
In the task form, confirm that the 'Contact Name' or 'Related To' field shows 'John García' and points to the Leads module. If it's not automatically selected, search for it and assign it manually so the task is linked to the lead record.
Save the task and verify the reminder
Click 'Save' to create the task with the reminder. The task will appear in the lead's Activities section and in your global Activities panel. On the configured date, Zoho CRM will send an automatic notification by email and/or within the app based on your notification preferences.
Frequently asked questions
How do I receive task reminder notifications in Zoho CRM?
Zoho CRM sends task reminders by email (to your registered Zoho email) and as in-app notifications (the bell icon in the top bar). You can configure your notification preferences under Setup > My Preferences > Notification Preferences.
Can I create bulk reminders for multiple leads at once in Zoho CRM?
Not directly from the standard interface. For bulk reminders, you could use Workflow Rules that automatically generate tasks when a lead meets certain criteria (e.g., leads with no activity in the last 3 days). Go to Setup > Automation > Workflow Rules to configure this.
Do task reminders in Zoho CRM sync with Google Calendar?
Zoho CRM Tasks do not sync directly with Google Calendar. However, Events can be synced. If you prefer to receive the reminder in Google Calendar, create an Event instead of a Task and configure the sync under Setup > Google > Calendar Sync.
