Requirements
- ·Zoho Bookings allows you to configure 'Time Off' (unavailable time) to block specific dates or hours within your scheduling calendar. Clients will not be able to book during those times.
- ·For weekly recurring blocks (like every Tuesday), Zoho Bookings lets you create unavailable time blocks with recurrence. This feature is available on the free plan.
- ·Alternatively, in Zoho Calendar you can create recurring events and mark them as 'Busy' so they sync with your Zoho Bookings availability if you have the integration active.
Access Zoho Bookings
Go to bookings.zoho.com and log in with your Zoho account. If you don't have Zoho Bookings active, activate it from accounts.zoho.com in the applications section. Zoho Bookings is where your scheduling availability is managed.
Go to the Staff profile
In the left sidebar, click 'Staff'. You'll see the list of team members. Click on your name or the profile of the team member whose calendar you want to modify.
Access the 'Time Off' tab
Inside the staff profile, find the 'Time Off' or 'Unavailable Hours' tab. This section is specifically for marking periods when you're not available for appointments, without removing your general availability.
Click 'Add Time Off'
Click the '+ Add Time Off' or 'Add Unavailability' button. A form will open to configure the time block. Here you can define the date, time range, and whether it's a one-time or recurring event.
Select the first Tuesday of the month
In the start date field, select the first Tuesday of the current month using the calendar picker. Set the start time to '2:00 PM' and the end time to '4:00 PM'.
Configure weekly recurrence
Enable the recurrence option and select 'Weekly'. In the day-of-week settings, select only 'Tuesday'. This will make the block repeat automatically every Tuesday.
Set the recurrence end date
Define how long the block will repeat. To block only the Tuesdays this month, select the last Tuesday of the month as the end date. You can also choose 'End after X occurrences' and write the number of Tuesdays in the month.
Add a descriptive note (optional)
In the 'Reason' or 'Note' field, you can write the reason for the block, for example 'Weekly internal meeting' or 'Unavailable'. This note is for internal reference only and is not visible to clients.
Save the time block
Click 'Save' to apply the block. Zoho Bookings will automatically update your availability calendar. Tuesdays from 2pm to 4pm will no longer appear as available slots for new appointments during the configured period.
