Requirements

  • ·Only users with the Administrator profile can edit Stage picklist values in Zoho CRM.
  • ·When adding a new stage, assign a realistic probability percentage so sales forecasts remain accurate.
  1. Access Zoho CRM settings

Click the gear icon (Setup) in the top-right corner of Zoho CRM to open the administration panel.

  2. Navigate to Modules and Fields

In the left sidebar of Setup, find the 'Customization' section and click 'Modules and Fields'. This opens the list of all available modules in your CRM.

  3. Select the Deals module

Find 'Deals' in the module list and click on it to open the field editor for the Deals module.

  4. Locate the Stage field

In the Deals module field editor, find the field called 'Stage'. It's a Picklist field (dropdown). Hover over it and click the edit icon (pencil) that appears.

  5. Open the picklist value editor

The Stage field editor will open. Click 'Edit Properties' or directly on the picklist values area to see all existing stage values.

  6. Add the new stages

Click '+ Add Option' or '+ Add Value'. Type 'Negotiation' and confirm. Repeat the process to add 'Contract Signing'. Each new stage will appear at the bottom of the value list.

  7. Assign the close probability to each stage

For each new stage, enter the close probability percentage in the 'Probability (%)' field. For example: Negotiation = 70%, Contract Signing = 90%. This directly affects sales forecasts.

  8. Reorder the stages and save changes

Drag the new stages to the correct position in the pipeline using the drag handle (three lines icon). Once in the desired order, click 'Save' to apply the changes. The new stages will now be available in the Deals pipeline.

Frequently asked questions

Can I have different pipelines with different stages in Zoho CRM?

Zoho CRM does not natively support multiple pipelines like HubSpot across all plans. All Deals share the same Stage field. To simulate multiple pipelines, you can create a custom 'Pipeline Type' field and filter the kanban view by that field. Multiple pipelines as a native feature are available in Zoho CRM Plus or Enterprise.

What happens to existing deals in a stage if I rename that stage?

If you edit the name of a Stage picklist value in Zoho CRM, existing deals that were in that stage will automatically update to the new name. You won't lose any records.

Can I add a custom color to each pipeline stage in Zoho CRM?

Yes. When editing Stage picklist values, Zoho CRM allows you to assign a color to each stage. These colors are reflected in the kanban view of the Deals module, making it easy to visually identify each pipeline stage at a glance.
