How to make a daily appointments report in Salesforce: step by step

Requirements

  • ·Salesforce does not have a dedicated 'today's appointments' view. Appointments are recorded as Events within the Activities module and are consulted through Reports & Dashboards.
  • ·The report must be created manually the first time. Once saved, it can be run daily with one click, but the 'TODAY' date filter must be correctly configured to update automatically.
  • ·To see appointments for all users (not just your own), you need the 'View All Activities' or 'Modify All Data' permission in your Salesforce profile.
  1. Log in to Salesforce

Go to login.salesforce.com and enter your credentials. Make sure you have access to the Reports module in your profile.

  2. Navigate to the Reports tab

In the top navigation bar, click the 'Reports' tab. If you don't see it directly, search for it in the App Launcher by typing 'Reports'. The list of existing reports will open.

  3. Create a new report

Click the 'New Report' button in the upper right. The report type selector will appear with multiple categories.

  4. Select the Activities with Events report type

In the report type search box, type 'Activities' or 'Events'. Select 'Activities with Events' from the list. This report type includes all relevant event fields such as date, subject, owner, and associated account. Click 'Continue'.

  5. Add date and type filters

In the filters panel on the left side, click 'Add Filter'. Add a filter for 'Close Date' or 'Activity Date' equal to 'TODAY'. Then add another filter for 'Type' equal to 'Event' or 'Meeting' to show only appointments and not tasks. Apply the filters.

  6. Select report columns

In the columns panel, verify that the following fields are included: 'Subject' (appointment subject), 'Activity Date' (date and time), 'Assigned To' (assigned agent), 'Name' (contact/customer), and 'Account Name'. Add or remove columns as needed by dragging from the available fields panel.

  7. Run the report

Click the 'Run' button in the upper right to execute the report with the configured filters and columns. The report will display all appointments for the current day ordered by time.
