How to create a calendar in Salesforce: step by step
Requirements
- ·Salesforce's native calendar (Activities/Events) does not generate shareable booking links for clients. This functionality requires Salesforce Inbox, a paid add-on (~$25/user/month).
- ·Salesforce Inbox is part of the Lightning Scheduler package. It is activated from Setup > Inbox Settings and requires an administrator to assign the license to the user.
- ·Without Salesforce Inbox, the only option is to manually create Events for each meeting from the Activities module.
Verify that Salesforce Inbox is activated
Click the gear icon (Setup) in the upper right corner. In the Setup search box, type 'Inbox' and verify that 'Inbox Settings' appears. If it does not appear, contact your administrator to activate the Salesforce Inbox license on your account.
Access Inbox Settings
From Setup, in the quick search box, type 'Inbox Settings' and click the result. This will open the Salesforce Inbox configuration panel where you can manage scheduling preferences.
Activate the Scheduling Page
Within Inbox Settings, find the 'Scheduling' or 'Meeting Scheduler' section. Click 'Enable Scheduling' or the toggle to activate the scheduling page functionality for your user.
Define your availability hours
In the availability section, select the days of the week you are available: check Monday, Tuesday, Wednesday, Thursday, and Friday. Set the start time to 9:00 AM and the end time to 6:00 PM for each selected day.
Configure meeting duration
Find the 'Meeting Duration' or 'Appointment Length' field. Select 45 minutes from the dropdown menu. You can also configure buffer time between meetings if you need preparation time between appointments.
Set the calendar name and description
In the 'Scheduling Page Name' field, enter your calendar name, for example 'Sales Meeting'. Add a brief description that visitors will see when they open the booking link.
Save the configuration
Click 'Save' to save all your Scheduling Page settings. Salesforce will automatically generate a unique URL for your availability calendar that you can share with prospects and clients.
Copy and share the booking link
Once the configuration is saved, your Scheduling Page URL will appear. Click 'Copy Link' to copy the link to your clipboard. You can include this link in your prospecting emails, email signature, or on your website.
