How to delete information from the knowledge base
Without a native knowledge base, deleting information in Pipedrive means locating and removing the Note or Smart Doc where it was stored. Note deletion is permanent and irreversible. How to delete information from the knowledge base in Pipedrive: step by step
Requirements
- ·Pipedrive has no native knowledge base. Deleting 'from the KB' means deleting the Note or Smart Doc where the information was stored.
- ·Note deletion in Pipedrive is permanent. There is no trash bin or recovery option for deleted notes.
- ·Only Administrators can delete other users' notes. Standard users can only delete their own notes.
- ·In Smart Docs (Advanced+), deleted documents cannot be recovered. Make sure before confirming deletion.
Log in to Pipedrive
Go to app.pipedrive.com and enter your credentials. You will need Administrator permissions if the note was created by another user. Verify your role at Settings > Manage users before continuing.
Locate the information using global search
Click the magnifying glass (🔍) in the top bar or press '/' to activate search. Type keywords related to the topic you want to delete. Identify the record (Organization, Contact, or Deal) that contains the note to be deleted.
Navigate to the record containing the note
Click the result to open the record. In the activity panel, scroll to find the specific note. If the note is pinned, it will appear at the top. Use the 'Notes' filter if you need to search through many activities.
Select the delete note option
Click the three-dot icon (⋯) next to the note you want to delete. From the dropdown menu, select 'Delete note'. Pipedrive will show a warning confirming that the action is irreversible.
Confirm the deletion
In the confirmation dialog, click 'Confirm' or 'Delete' to proceed. The note will be permanently deleted. There is no trash bin or way to recover it, so make sure it is the correct note before confirming.
Delete a Smart Doc (Advanced+): remove the file
If the information was in a Smart Doc, navigate to Smart Docs in the left sidebar. Locate the document in the list, click the three-dot icon (⋯) next to the document, and select 'Delete'. Confirm the deletion in the dialog. The document will be permanently removed from the system and will no longer be accessible from any deal or contact it was linked to.

Can a deleted note be recovered in Pipedrive?
No. Note deletion in Pipedrive is permanent and irreversible. There is no recycle bin or undo option for deleted notes. Once deleted, the only way to recover the content would be if someone made a manual copy beforehand. That is why it is recommended to export or copy the content before deleting.
Who can delete notes in Pipedrive?
