Creating follow-up sequences in Pipedrive requires building multiple chained automations in the Automations section with time and status conditions. Requirements

  • ·Automations requires the Advanced plan ($39/user/month) or above. Not available on Essential.
  • ·Each step in the sequence (day 3, day 7, day 14) must be configured as a separate automation.
  • ·To detect 'no reply', you must use conditions on the email or activity field — there is no native 'no reply' trigger.
  1. Log in to Pipedrive and go to Tools

    Go to app.pipedrive.com. In the left sidebar, click 'Tools and Apps' or the grid icon.

  2. Open the Automations section

    Within Tools and Apps, click 'Automations'. This is where all automated workflows for your account are created and managed.

  3. Create a new automation for the first follow-up

    Click '+ Add automation'. This opens the visual workflow editor. This automation will handle the first follow-up on day 3.

  4. Define the trigger event

    In the 'Trigger' block, select the event that starts the sequence, for example 'Deal stage changed' (when the deal enters a specific stage). You can also use 'Deal created' if you want it to start when the deal is created.

  5. Add a 3-day wait condition

    After the trigger, click '+' to add a wait block. Select 'Delay' and set it to '3 days'. This will make the automation pause 3 days before executing the next action.

  6. Define the first follow-up action

    After the delay, add an action. Select 'Send email' to send an automatic email, or 'Create activity' to create a follow-up task for the agent. Configure the content or task instructions.

  7. Save and activate the first automation

    Click 'Save' and then toggle the automation on to activate it. Verify that the status changes to 'Active'.

  8. Create a second automation for the day 7 follow-up

    Return to the automations list and click '+ Add automation' again. Repeat the trigger process, but this time set the delay to '7 days'. Define the action for the second follow-up message.

  9. Add a 'no activity' condition before the day 7 action

    To send the second follow-up only if there was no reply, add a Condition block after the delay. Filter by 'Last activity date is more than 7 days ago' or 'Email replied = No' depending on the fields available in your account.

  10. Create the third automation for the day 14 follow-up

    Repeat the process once more for the third follow-up. Set the delay to '14 days' from the trigger event, add the no-reply condition, and define the third message action.

  11. Test the complete sequence with a test deal

    Create a test deal and trigger the configured event. Check in the automations history that all three steps are queued correctly. Adjust messages or conditions if anything does not work as expected.
