How to create an automatic lead reminder
In Pipedrive, reminders for leads are created as Activities (calls, emails, tasks) with a due date linked to the contact record. Pipedrive sends automatic notifications when the date arrives. How to create an automatic lead reminder in Pipedrive: step by step
Requirements
- ·In Pipedrive, reminders are managed as Activities. An Activity is any scheduled task (call, email, task, meeting) with a due date.
- ·Pipedrive sends email and push notifications (mobile app) when an Activity reaches its due date.
- ·To automate the creation of follow-up Activities (e.g., automatically create a task 3 days after adding a lead), Automations are needed, available on the Advanced plan or above.
- ·From the Essential plan you can create Activities manually with a due date, which also generates automatic reminders.
Log in to Pipedrive
Go to app.pipedrive.com and enter your credentials. Make sure you have access to John García's contact record.
Search for lead John García
Use the global search bar at the top of the screen (magnifying glass icon). Type 'John García' and select the contact from the results. You can also go to Leads > Leads Inbox and use the search filter to find them.
Open the contact record
Click on John García's name to open the full contact profile. Here you will see their activity history, notes, associated deals, and all contact information.
Create a new Activity
In the contact panel, look for the '+ Activity' or 'Schedule an activity' button. Click it. The Activity creation form will open.
Select the follow-up activity type
In the Activity form, select the type: choose 'Task' for a general follow-up, or 'Call' if you plan to call them. Type in the description field: 'Follow-up with John García - 3 days' for easy identification.
Set the due date to 3 days from now
In the Due date field, select today's date plus 3 days. For example, if today is Monday the 22nd, select Thursday the 25th. Also set a specific time, such as 10:00 a.m., so the notification arrives at the right moment.
Assign the activity and configure the reminder
Make sure the activity is assigned to your user (the 'Assigned to' field). Check the 'Remind me' box if available, or verify that Activity notifications are enabled in Settings > Notifications. Pipedrive will send an email and a push notification when the date arrives.
Save the Activity
Click 'Save'. The Activity will be linked to John García's record and will appear in your pending Activities view. In 3 days, Pipedrive will automatically send you an email and in-app notification to remind you of the follow-up.
