Requirements

  • ·Pipedrive Automations require the Advanced plan ($49/user/month) or above. They are not available on the Essential plan.
  • ·Pipedrive has no native 'nurturing sequence' concept as a standalone module. Sequences are built by chaining multiple automations together.
  • ·Sending emails from Pipedrive Automations requires configuring your email account (Gmail, Outlook) in Settings > Email sync.
  • ·Pipedrive Campaigns (email marketing) is a separate add-on. Email automations within Automations use the salesperson's email, not mass marketing templates.

  1. Verify you have the Advanced plan or above

    Go to Settings (gear icon) > Billing to confirm your current plan. Automations are only available from the Advanced plan. If you are on Essential, you will need to upgrade your subscription before continuing.

  2. Set up email synchronization

    Go to your username > Personal preferences > Email sync. Connect your Gmail, Outlook, or corporate email account. This connection is required for automations to send emails on your behalf. Follow the OAuth authorization instructions.

  3. Navigate to Tools > Automations

    In the left sidebar, click the lightning bolt icon (⚡) or go to Tools and apps > Automations. The main automations screen will open where you'll see all existing automations and the button to create new ones.

  4. Create the first automation: sequence trigger

    Click '+ Add automation' or 'Create automation'. In the 'When this happens' (trigger) field, select 'Deal > Deal is updated'. Configure the filter to activate when the 'Last activity time' field of a deal is more than 7 days ago and the deal stage corresponds to leads without a response.

  5. Add the filter condition for unresponsive leads

    In the trigger conditions section, add the filters: (1) Stage = the stage where unresponsive leads live, (2) Last activity time = more than 7 days ago. This ensures the automation only applies to the correct leads.

  6. Add the action: send value email (day 7)

    In the 'Then do this' (actions) section, click '+ Add action' and select 'Send email'. Write the value email: subject and body with relevant content for the lead. Use the available personalization variables (such as {person.name} or {deal.title}) to personalize the message.

  7. Add a 7-day wait action

    Below the first email, click '+ Add action' and select 'Wait'. Configure the wait for 7 days. This will cause the next action in the sequence to execute 7 days after the first email.

  8. Add the second email: success story (day 14)

    After the wait action, click '+ Add action' and add another 'Send email'. Write the success story email: share a concrete case of how your product or service helped a similar client. Keep the tone consultative and non-aggressive.

  9. Add a second 7-day wait

    Again, click '+ Add action' and select 'Wait'. Configure another 7 days of waiting so the third email is sent 14 days after the second (21 days from the start of the sequence).

  10. Add the third email: offer (day 21)

    Add a third 'Send email' with the offer email. Include a clear CTA (call to action): an offer, discount, or invitation to a call. This should be the most direct message in the sequence. Consider adding an additional action to create a follow-up task for the salesperson if the lead doesn't respond.

  11. Save, test, and activate the automation

    Give the automation a descriptive name (e.g., 'Nurturing - No response 7 days'). Click 'Save' to save it. Before activating, use the 'Test automation' function available in Pipedrive to verify that the conditions and actions are correctly configured. Once verified, toggle the automation on to start it.

Frequently asked questions

Do nurturing sequences in Pipedrive require a paid plan?

Yes. Pipedrive Automations, which is the tool for building nurturing sequences, are only available from the Advanced plan ($49/user/month). The Essential plan does not include automations. Additionally, for bulk marketing email sending, you need the Campaigns add-on, which has an additional cost.

Can I stop the nurturing sequence if the lead responds?

Yes, but it requires additional configuration. You need to add an exit condition to the automation: for example, 'If lead activity changes' or 'If the deal changes stage', stop the sequence. In Pipedrive you can configure exit condition filters within the automation builder to prevent emails from continuing to be sent if the lead has already responded.

Does Pipedrive have email sequences like HubSpot or Outreach?

Not natively at the same level. Pipedrive Automations allows chaining emails with waits, but does not have a dedicated 'Sequences' module like HubSpot Sales Hub or specialized tools like Outreach or Salesloft.
