How to block a day in my calendar
Pipedrive does not offer a native button to block a full day in its calendar. The most direct approach is to create an all-day 'Busy' event in your synced Google Calendar or Outlook, which Pipedrive will respect automatically. You can also disable the day in the Scheduler directly. In Teeo, one message blocks the day in seconds.
How to do it in Teeo
“Block next Monday entirely in my calendar”
The day is blocked. It will not appear as available for new appointments.
How to block a day in my calendar in Pipedrive: step by step
Requirements
- ·Pipedrive has no native 'block day' feature in its interface. Blocking is managed through the Scheduler (disable the day in availability settings) or via an all-day event in the synced calendar.
- ·Using Google Calendar or Outlook is the fastest method for one-off blocks of a specific day, since the Scheduler affects all Mondays permanently.
- ·If the block is recurring (e.g., blocking every Monday), editing the Scheduler directly is more efficient.
- ·Make sure the all-day event in Google Calendar is marked as 'Busy' and not 'Free' for Pipedrive to recognize it correctly.
Log in to Pipedrive
Go to app.pipedrive.com and enter your credentials. Confirm that your Google Calendar or Microsoft Outlook is synced at Settings > Personal preferences > Calendar sync.
Decide which method to use
If you need to block only next Monday (a one-time day), the fastest method is to create an all-day event in Google Calendar or Outlook. If you need to block every Monday permanently, edit the Scheduler directly in Pipedrive.
Open Google Calendar
Go to calendar.google.com in your browser. Navigate to next Monday in the monthly or weekly view.
Create an all-day event
Click on the top of the day (in the 'All-day events' area in the weekly view) or click the date in the monthly view. The creation form will open. Select 'All day' so it covers the full 24 hours.
Set the event as Busy
Title the event 'Not Available' or 'Blocked'. In the status field, make sure to select 'Busy'. This is critical: if the event is set to 'Free', Pipedrive will not recognize it as a block and clients may still be able to book on that day.
Save the event
Click 'Save'. The all-day event will be recorded in Google Calendar and will sync automatically with Pipedrive within seconds to minutes.
Verify the block in Pipedrive Scheduler
Return to Pipedrive and go to Tools > Scheduler. Open your Scheduler and click 'Preview'. Navigate to next Monday. The day should appear completely blocked (no available times shown). If it still shows availability, wait a couple of minutes for the sync to complete.
Frequently asked questions
Can I block a day directly from Pipedrive without using Google Calendar?
Yes, but with limitations. You can go to Tools > Scheduler, edit your Scheduler, and disable Monday in the availability settings. This will block all Mondays permanently. If you only want to block a specific Monday (like next week's), you will need to create an all-day event marked as 'Busy' in your synced Google Calendar or Outlook.
How long does it take for the Google Calendar block to sync with Pipedrive?
The sync between Google Calendar and Pipedrive is generally real-time or takes less than 2 minutes. If the block does not appear immediately in the Scheduler preview, wait a few minutes and reload the page. In rare cases, it may take up to 15 minutes.
What happens if someone already has a meeting scheduled on the day I want to block?
Blocking the day in the Scheduler or Google Calendar does not automatically cancel already-scheduled meetings. It only prevents new meetings from being booked on that day. If you need to cancel existing meetings, you will need to do so manually from the Activities record in Pipedrive or from the event in Google Calendar, notifying the contact.
