How to automate lead profiling
Automating lead profiling in Pipedrive requires combining custom fields (for classification) with Automations (available on the Advanced plan or above). Each classification rule requires a separate automation with conditions based on activity counts. The process is technical and time-consuming. How to automate lead profiling in Pipedrive: step by step
Requirements
- ·Pipedrive Automations require the Advanced plan ($49/user/month) or above. They are not available on the Essential plan.
- ·Pipedrive has no native 'lead temperature' field. You must create a custom List (dropdown) field with options: Hot, Warm, Cold.
- ·The 'number of completed activities' condition is available in Automations to trigger classification rules.
- ·For the full logic (hot ≥3, warm 1-2, cold = 0) you will need to create 3 separate automations, one per classification.
- ·Automations apply in real time when the defined trigger is met (e.g., when an activity is completed).
Verify you have the Advanced plan or above
Pipedrive Automations are only available on the Advanced plan ($49/user/month) or above. Go to Settings > Billing to confirm your plan. If you are on Essential, you need to upgrade before continuing.
Create the classification custom field
Go to Settings (gear icon in the top right) > Data fields. Select 'Person' or 'Lead' as the entity. Click 'Add custom field'. Choose the type 'Single option' (dropdown). Name it 'Lead Temperature' or 'Lead Score'.
Add options to the custom field
In the field editor, add three options: 'Hot', 'Warm', and 'Cold'. Save the field. It will now appear on all contact records and can be used as a condition and action in Automations.
Navigate to the Automations section
In the sidebar, click the tools icon or go to Tools > Automations. This is where you will create the automatic classification rules. Click '+ Add Automation'.
Create the automation for HOT leads (≥3 activities)
In the automation editor, set the Trigger: select 'Activity' > 'Activity completed'. In Conditions, add: 'Number of activities (Person)' is greater than or equal to 3. In the Action, select 'Update Person field' and choose the 'Lead Temperature' field with the value 'Hot'. Name the automation 'Classify hot lead'.
Save and activate the hot leads automation
Click 'Save'. The automation will be set to active. Whenever an activity is completed and the contact has 3 or more total activities, the 'Lead Temperature' field will automatically update to 'Hot'.
Create the automation for WARM leads (1-2 activities)
Click '+ Add Automation' again. Set the same Trigger: 'Activity completed'. In Conditions, add two rules combined with AND: 'Number of activities' is greater than or equal to 1 AND 'Number of activities' is less than or equal to 2. In the Action, update the 'Lead Temperature' field to 'Warm'. Name the automation 'Classify warm lead'.
Create the automation for COLD leads (0 activities)
Click '+ Add Automation'. For leads with no interactions, set the Trigger to 'Person created'. In Conditions, set 'Number of activities' equals 0. In the Action, update the 'Lead Temperature' field to 'Cold'. Name the automation 'Classify cold lead'.
Activate all three automations
Verify that all three automations are in 'Active' status (green toggle). You can check this in the Automations list. If any is paused, click the toggle to activate it.
Test the automations with a test lead
Create a test contact and add 3 completed activities. Verify that the 'Lead Temperature' field changes to 'Hot' automatically. Then test with 1 activity to verify it classifies as 'Warm'. Delete the test contact when done.
Apply classification to existing leads (retroactive)
Automations only trigger for future events. To classify existing leads, use the filter function in Contacts: create a filtered view by number of activities and manually bulk-update the 'Lead Temperature' field using the mass edit feature (select multiple contacts > Edit selected).
Frequently asked questions
Are Pipedrive Automations for lead profiling available on all plans?
No. Pipedrive Automations are only available from the Advanced plan ($49/user/month). The Essential plan does not include this feature. Additionally, each plan has a limit on active automations: Advanced includes up to 30, Professional up to 60, and Power/Enterprise with no defined limit.
Can Pipedrive automatically classify leads as hot, warm, or cold?
Not natively. Pipedrive does not have a built-in lead temperature system. To achieve this, you must create a custom 'Single option' field with Hot/Warm/Cold options and then create separate Automations that update that field based on the number of completed activities. This requires the Advanced plan or above.
Do lead classification automations apply retroactively to existing leads?
No. Automations in Pipedrive only trigger for future events from the moment they are activated. To classify leads that already exist in your CRM, you must do so manually using bulk editing in the Contacts view, filtered by number of activities.
