Requirements

  • ·HubSpot's free plan includes basic live chat and a very limited chatbot (simple qualification questions only).
  • ·Chatbots with complex conversation flows and advanced branching require Service Hub Starter ($45/month) or above.
  • ·HubSpot's chatbot (Chatflows) operates only in the website chat widget. It does not integrate with WhatsApp or social media natively.
  1. Log in and go to the Conversations module

    Access app.hubspot.com. In the top navigation bar, click 'Conversations'. This module centralizes all of HubSpot's communication channels.

  2. Access Chatflows

    In the left sidebar within Conversations, click 'Chatflows'. You'll see the list of existing chatflows. Click 'Create chatflow' in the upper right.

  3. Select the chat channel

    HubSpot will ask which channel you want the chatbot on. Select 'Website' to add it to your website. Then choose 'Bot' (not 'Live chat') to create an automated flow.

  4. Choose or create the conversations inbox

    Select the HubSpot inbox where conversations will arrive. If you don't have one, create a new one. The inbox connects the chatbot with your team for transfers to human agents when needed.

  5. Configure the welcome message

    In the flow builder, the first node is the welcome message. Click on it and write the message the visitor will see when opening the chat, for example: 'Hello! How can I help you today?'.

  6. Add quick reply options

    Below the welcome message, add quick reply options. Create buttons for the main queries: 'Pricing', 'Services', 'Buying Process'. The visitor can click them instead of typing.

  7. Create the flow for the 'Pricing' option

    Click on the 'Pricing' branch and add a message node. Write the response about pricing. You can add more options or a button to connect with a human agent at the end of this branch.

  8. Create flows for 'Services' and 'Buying Process'

    Repeat the process for each option. Each branch can have sub-options, additional messages, and actions like 'Submit form' or 'Connect with agent'. Build out the complete conversation tree.

  9. Configure the closing or transfer action

    At the end of each branch, define what happens: the bot can close the conversation, transfer it to an available agent, or show a contact form. Configure this in the final node of each flow.

  10. Configure the chat widget appearance

    In the 'Options' tab of the chatflow, customize the widget color (should match your brand), the bot name, the avatar, and the preview message that appears before the user opens the chat.

  11. Define which pages the chatbot will appear on

    In the 'Target' tab, configure targeting rules: on which URLs of the website the chatbot will appear. You can show it on all pages or only specific pages like pricing or contact.

  12. Activate the chatbot and add code to your site

    Click 'Save' and then activate the chatflow. If your site is on HubSpot CMS, the widget is added automatically. If you have an external site, copy the HubSpot tracking code (Settings > Website > Tracking Code) and paste it before the closing </body> tag on your site.
