HubSpot vs Teeo

How to block time slots in my calendar

HubSpot Meetings does not have a native function to block specific time slots within the scheduling link. The correct approach is to create blocking events directly in the Google Calendar or Outlook connected to HubSpot. When you create an event in your connected calendar, those hours are automatically marked as unavailable in the Meetings link. The process takes 15 to 20 minutes.

How to block time slots in my calendar in HubSpot: step by step

Requirements

  • ·HubSpot Meetings has no interface to block time slots directly from HubSpot. Blocking is done in the connected calendar (Google or Outlook).
  • ·To block every Tuesday of the month, you must create the event as recurring in Google Calendar or Outlook.
  • ·Any event marked as 'Busy' in the connected calendar will be reflected as unavailable in the Meetings link.
  1. Open your Google Calendar or Outlook connected to HubSpot

Open the calendar you have synced with HubSpot Meetings (Google Calendar or Microsoft Outlook). Changes you make here will automatically reflect in your HubSpot availability.

  2. Navigate to the first Tuesday of the current month

In the calendar view, navigate to the first Tuesday of the current month. Click on the 2:00 PM time slot of the selected day.

  3. Create a new blocking event

Click on the 2:00 PM time slot and select 'Create event'. The calendar event editor will open.

  4. Configure the event as a time block

Write a descriptive title like 'BLOCKED - Not available'. Set the start time to 2:00 PM and end time to 4:00 PM. Make sure the event status is marked as 'Busy', not 'Free'.

  5. Configure event recurrence

Enable the event repetition or recurrence option. Select 'Weekly' and mark only 'Tuesday' as the repeat day.

  6. Define the recurrence range

Configure the start date (first Tuesday of the month) and end date (last Tuesday of the month). This way the block will only apply during the current month without extending indefinitely.

  7. Save the recurring event

Click 'Save' to create the recurring event. Google Calendar or Outlook will automatically create the event for each Tuesday of the month in the specified range.

  8. Verify the block in HubSpot Meetings

Go to HubSpot and open your Meetings scheduling link. Navigate to the Tuesdays of the month to confirm that the 2pm-4pm time slots no longer appear as available. Synchronization usually takes between 1 and 5 minutes.

Frequently asked questions

Can I block time slots directly from HubSpot without going to Google Calendar?

No. HubSpot Meetings does not have its own interface to block specific time slots. The Meetings link availability is calculated in real time based on events in the connected calendar (Google Calendar or Outlook). To block time slots, you must do it directly in your external calendar.

How long does it take HubSpot to reflect calendar availability changes?

Synchronization between the connected calendar and HubSpot Meetings usually takes between 1 and 5 minutes. In some cases it may take up to 15 minutes depending on server load. If changes don't reflect after 15 minutes, try disconnecting and reconnecting the calendar in Settings > General > Calendar.

What happens if someone schedules a meeting right before I block the time slot in HubSpot?

If the time slot was available when the client accessed the link and scheduled the meeting, the appointment will be confirmed. HubSpot does not cancel already-scheduled meetings when you block the time slot afterwards. You'll need to contact the client directly to reschedule if necessary.
