How to block a day in my calendar
To block a full day in HubSpot Meetings calendar, the most effective way is to create an all-day event marked as 'Busy' in the Google Calendar or Outlook connected to HubSpot. HubSpot automatically detects these events and marks the day as unavailable in the scheduling link. The process takes 10 to 15 minutes.
How to do it in Teeo
“Block next Monday entirely in my calendar”
The day is blocked. It will not appear as available for new appointments.
How to block a day in my calendar in HubSpot: step by step
Requirements
- ·HubSpot Meetings has no native option to block days from its interface. Blocking is managed from the connected external calendar.
- ·An all-day event marked as 'Busy' in Google Calendar blocks full-day availability in HubSpot Meetings.
- ·Alternative in HubSpot: temporarily modify the Meetings link available hours in Settings to exclude that day.
Open the external calendar connected to HubSpot
Access Google Calendar (calendar.google.com) or Microsoft Outlook, whichever you have synced with HubSpot Meetings. Changes you make here will automatically reflect in your HubSpot availability.
Navigate to next Monday
In the calendar view, navigate to the next Monday you want to block. Make sure you're on the correct week.
Create an all-day event
In Google Calendar, click on the Monday date at the top (in the all-day events area, not a specific time slot). Select 'Create all-day event' or simply click on the day number to create an all-day event.
Write the title and set status to Busy
Write a descriptive title like 'BLOCKED — Not available'. In the event options, find the status field and make sure to select 'Busy'. This is the critical step: if the event is marked as 'Free', HubSpot will not block the day.
Confirm the event covers the full day
Verify the event is configured as 'All day'. If the event has specific start and end times that don't cover the full available schedule, some time slots may still show as available in the Meetings link.
Save the event
Click 'Save' to create the all-day event. The event will appear at the top of the day in the weekly calendar view.
Verify in HubSpot that the day is blocked
Go to HubSpot and open your Meetings link in an incognito browser window (to see it as a client would). Navigate to next Monday and confirm that no time slots appear available for that day. Synchronization takes between 1 and 5 minutes.
Frequently asked questions
Can I block a day directly from HubSpot Meetings tool settings?
Not directly as a specific day block. However, an alternative is to go to Sales > Meetings, edit the link, and in the availability section temporarily deactivate that day of the week (e.g., deactivate 'Monday'). This will block all Mondays until you reactivate it, not just the next one.
Does the full-day block work if the calendar event is marked as 'Free'?
No. For HubSpot Meetings to recognize an event as an availability block, the event must be marked as 'Busy' in the connected calendar. Events marked as 'Free' are ignored by HubSpot and the time slot will continue to appear as available.
Can I block days from mobile in HubSpot?
Yes, through the Google Calendar or Outlook app on your phone. Create the all-day event with 'Busy' status from the mobile app of the connected calendar. Changes sync with HubSpot regardless of where you make them.
