Requirements

  1. Log in and access Settings

    Go to app.hubspot.com and log in. Click the gear icon (⚙️) in the top-right navigation bar to open the Account Settings panel.

  2. Navigate to CRM in the sidebar

    In the left sidebar of Settings, find and click 'CRM'. A submenu with CRM configuration options will expand.

  3. Select Deals then Pipelines

    Within the CRM menu, click 'Deals'. Then at the top of the screen, select the 'Pipelines' tab. You'll see the list of your active pipelines.

  4. Select the pipeline you want to modify

    If you have more than one pipeline, click the name of the pipeline you want to add stages to. With the free plan, you'll only have one pipeline available. You'll see the current stages in order.

  5. Add a new stage

    Click the '+ Add stage' button that appears below the existing stages or between them. A new editable row will be created in the stage list.

  6. Write the new stage name

    In the text field of the new row, write the stage name, for example: 'Negotiation'. Make sure the name is clear and recognizable for the entire sales team.

  7. Assign the close probability

    To the right of the stage name, enter the close probability percentage. For example: 'Negotiation' might have 60% and 'Contract Signing' 90%. This percentage is used in HubSpot's sales forecasts.

  8. Save changes and verify the order

    Once all new stages are added, click 'Save' to save the changes. Verify the stages appear in the correct pipeline order. If you need to reorder them, you can drag them with the drag icon (⋮⋮) that appears on the left side of each stage.

How many stages can a pipeline have in HubSpot?

HubSpot does not set a specific limit on the number of stages per pipeline. However, it is recommended to keep between 5 and 8 stages so the pipeline is manageable and realistically reflects the sales process. Too many stages can complicate daily tracking.

Can I reorder pipeline stages in HubSpot without losing deals?

Yes. You can drag and drop stages to change their order in Settings > CRM > Deals > Pipelines. Existing deals in each stage remain assigned to their stage even if you change the order. HubSpot does not automatically move deals when reordering.

Does renaming a pipeline stage affect already-assigned deals in HubSpot?

It does not affect deals in terms of data. Deals will remain assigned to that stage with the new name. However, if you have Workflows or reports that filter by stage name, you'll need to update them manually to reflect the new name.
