How to create follow-up sequences
Follow-up sequences in Freshsales let you automate emails and tasks at defined intervals. Setting them up requires navigating to Sales → Sequences, creating the sequence, adding each step with its interval and exit condition, and activating it. The process takes around 35 minutes. How to create follow-up sequences in Freshsales: step by step
Requirements
- ·Sequences are available starting from the Freshsales Growth plan. They are not included in the Free plan.
- ·Freshsales sequences only send emails from the agent's connected email account. They do not natively support WhatsApp or SMS in sequences.
- ·The exit-on-reply condition must be manually configured in each sequence; it is not active by default.
Log in to Freshsales
Go to your Freshsales domain and enter your credentials. Make sure your account is on the Growth plan or above, as sequences are not available on the Free plan.
Navigate to Sales → Sequences
In the left-side navigation bar, click 'Sales'. In the submenu that appears, select 'Sequences'. The list of existing sequences will open.
Create a new sequence
Click the '+ New Sequence' button in the upper right corner. The sequence creation wizard will open.
Assign a name to the sequence
Type a descriptive name for the sequence in the 'Sequence Name' field, for example: 'Cold prospect follow-up — 3/7/14 days'. Click 'Next' to continue.
Add the first step: email at day 3
Click '+ Add Step' to add the first step. Select 'Email' as the step type. Set the 'Wait' field to 3 days. Write the subject and body of the email, or select an existing template.
Configure the exit-on-reply condition
In the first step's configuration, enable the 'Exit sequence if contact replies' option so the contact automatically exits the sequence if they reply. This option must be explicitly enabled.
Add the second step: email at day 7
Click '+ Add Step' again. Select 'Email' as the type. Set the 'Wait' field to 4 days (i.e., 4 days after the previous step, for a total of 7 days from the start). Write the second email content.
Add the third step: email at day 14
Click '+ Add Step' a third time. Set the 'Wait' field to 7 days (7 days after the previous step, total 14 days from the start). Write the third follow-up email.
Review the sequence summary
Verify in the preview panel that all three steps appear with the correct intervals: Day 3, Day 7, and Day 14. Confirm that the exit-on-reply condition is active on each step.
Configure sending settings
In the sequence's 'Settings' section, define the sending days and hours (e.g., only business days from 9 AM to 6 PM). Select the sender in the 'Send emails as' field.
Save the sequence
Click the 'Save' button to save the sequence. At this point the sequence is in 'Draft' state and is not yet active.
Activate the sequence
To activate the sequence, click the 'Activate' button or change the status from 'Draft' to 'Active' using the corresponding toggle. The sequence will start executing when contacts are added to it.
