How to create a calendar in Freshsales: step by step
Requirements
- ·Freshsales Meeting Scheduler requires connecting Google Calendar or Microsoft Outlook to function properly.
- ·The Meeting Scheduler feature is available on Growth, Pro, and Enterprise plans. It is not available on the Free plan.
- ·Each sales representative must configure their own Meeting Scheduler individually.
- ·The booking link is personal per user; there is no centralized team calendar without additional configuration.
Access your user profile
Click on your avatar or profile photo in the top-right corner of Freshsales. In the dropdown menu, select 'Profile Settings' to open your personal account settings.
Navigate to the Calendar section
Inside Profile Settings, scroll through the left sidebar and click 'Calendar'. This is where both calendar sync and the Meeting Scheduler are managed.
Connect your Google Calendar or Outlook account
In the 'Calendar Sync' section, click 'Connect Google Calendar' or 'Connect Microsoft Outlook'. Follow the OAuth authorization flow to grant the required permissions. Without this connection, the Meeting Scheduler cannot check your real availability.
Go to the Meeting Scheduler section
Once the calendar is synced, click 'Meeting Scheduler' in the left sidebar within Profile Settings, or navigate to Sales > Meeting Scheduler from the main Freshsales menu.
Create a new meeting type
Click the '+ New Meeting Type' (or 'Create Meeting Type') button. A configuration form opens where you will define all parameters for your booking calendar.
Configure the name and duration
In the 'Meeting Name' field, type a name (e.g., 'Sales Meeting'). In the 'Duration' field, select '45 minutes' from the dropdown. Optionally add a description that invitees will see when booking.
Define availability days and hours
In the 'Availability' section, enable the weekdays: toggle Monday through Friday on and Saturday and Sunday off. For each active day, set the start time to '9:00 AM' and end time to '6:00 PM' using the time pickers.
Configure lead time and buffer
In 'Minimum scheduling notice', define how far in advance a booking must be made (e.g., 60 minutes). In 'Buffer time', add time between meetings if needed (e.g., 15 minutes). This prevents back-to-back bookings.
Configure daily booking limit (optional)
In 'Daily limit', set the maximum number of meetings per day if you want to cap your workload. Then review the 'Timezone' field and make sure it matches yours.
Save and get the booking link
Click 'Save' to store the Meeting Scheduler configuration. Freshsales will automatically generate a personalized booking link. Copy that link from the 'Share' section and share it with your prospects via email, WhatsApp, or in your email signature.
