How to block time slots in my calendar
Freshsales does not have a native function to block recurring time slots in the Meeting Scheduler. To prevent meetings from being booked at certain times, you must use the connected external calendar (Google Calendar or Outlook) and manually create block events one by one for each Tuesday of the month.
How to do it in Teeo
“Block from 2pm to 4pm every Tuesday this month in my calendar”
The time blocks are registered. No meetings can be scheduled during those times.
How to block time slots in my calendar in Freshsales: step by step
Requirements
- ·Freshsales does not have a native function to block recurring time slots in the Meeting Scheduler.
- ·The only way to block time slots is by creating 'Busy' events in synced Google Calendar or Outlook, or manually creating 'Busy' activity records in Freshsales for each slot.
- ·There is no recurring block option within Freshsales; you must repeat the process for each Tuesday of the month.
- ·Changes in the external calendar take a few minutes to reflect in the Freshsales Meeting Scheduler availability.
Open Google Calendar (or Outlook) in another tab
Since Freshsales does not allow blocking time slots directly, open the external calendar you have synced with Freshsales. If you use Google Calendar, go to calendar.google.com. If you use Outlook, open Outlook Calendar.
Navigate to the first Tuesday of the month
In Google Calendar, use the navigation arrows to move to the week of the first Tuesday of the current month. Switch to 'Week' view for a better view of time slots.
Create the first block event
Click on the first Tuesday at 2:00 PM to create a new event. In the creation form, type a title like 'Blocked - not available' or 'Block: No meetings'.
Adjust start and end time
Change the start time to '2:00 PM' and end time to '4:00 PM'. Make sure the correct Tuesday is selected as the event date.
Mark the event as 'Busy'
In the event options (click 'More options'), find the status field and select 'Busy'. This is critical so that the Freshsales Meeting Scheduler detects the conflict and prevents bookings during that time.
Save the first block event
Click 'Save'. The event is created in your Google Calendar and Freshsales will detect it on the next sync (usually within 5 minutes).
Repeat for the second Tuesday of the month
Navigate to the week of the second Tuesday. Repeat steps 3 through 6: create a new event from 2:00 PM to 4:00 PM, mark it as 'Busy', and save it.
Repeat for the third Tuesday of the month
Navigate to the third Tuesday's week. Create the block event from 2:00 PM to 4:00 PM again, marked as 'Busy', and save it.
Repeat for the fourth (and fifth) Tuesday of the month
If the month has four or five Tuesdays, repeat the process for each one. Each block must be created individually since Freshsales does not always import recurring events automatically.
Verify sync in Freshsales
Return to Freshsales. Go to Profile Settings > Calendar and confirm the sync is active and up to date. Wait 3 to 10 minutes for the changes to reflect in the Meeting Scheduler.
Verify availability on the booking link
Copy your Meeting Scheduler link and open it in an incognito window as if you were a prospect. Navigate to a Tuesday of the month and confirm that the 2:00 PM to 4:00 PM slot no longer appears available for booking.
Frequently asked questions
Can I block time slots directly in Freshsales?
Not directly. Freshsales does not have a function to block time slots in the Meeting Scheduler. The only way is to create 'Busy' events in your synced Google Calendar or Outlook, or manually create 'Busy' activity records in Freshsales for each slot you want to block.
Do recurring events in Google Calendar sync with Freshsales?
Partially. Freshsales reads events from your synced calendar to check availability, but recurring event support can be inconsistent. It is recommended to create individual block events for each slot you want to protect and verify the result on the booking link.
How long does it take for a block to reflect in the Freshsales Meeting Scheduler?
Synchronization between Google Calendar/Outlook and Freshsales typically takes 3 to 10 minutes. If the block does not appear immediately on your booking link, wait a few minutes and reload the page before concluding there is a problem.
