Requirements

  • ·Global search (Ctrl+F3) searches across all entities, not just Leads — it may show contacts or accounts with the same name
  • ·Advanced Find allows saving search views for reuse
  • ·If there are many leads with similar names, you will need additional filters to find the correct one

  2. Review global search results

Results will appear categorized by record type (Leads, Contacts, Accounts, etc.). Look in the 'Leads' section and click the correct result to open the record.

  3. Search from the Leads view (alternative method)

If the result is unclear, navigate to 'Leads' in the Sales Hub sidebar menu. You will see the full list of leads.

  4. Use the Leads view filter

In the search bar within the Leads view, type 'John García'. Results will filter in real time showing only leads that match the name.

  5. Use Advanced Find for complex criteria

If you need to search by multiple criteria (name + company + lead status), click the funnel icon in the top bar to open Advanced Find. Define the filters and run the search.

  6. Open the lead record

Once you find lead John García using any of the above methods, click their name to open the full record with all their information, activity history, and current status.

Frequently asked questions

What is the difference between global search and Advanced Find in Dynamics 365?

Global search (Ctrl+F3) is fast but searches across all entities simultaneously. Advanced Find (funnel icon) lets you define multiple specific criteria, filter by custom fields, and save searches as reusable views for the team.

Can I search for leads by phone number or email in Dynamics 365?

Yes. Using Advanced Find you can search by any lead field, including phone and email. Global search also indexes those fields, although results may also include contacts and accounts with the same data.

How can I save a frequent lead search in Dynamics 365?

Use Advanced Find to define the criteria, then click 'Save As' to create a custom view. That view will appear in the view selector of the Leads list and can be shared with your team if you have the necessary permissions.
