Requirements
- ·Appointments in Dynamics 365 are a type of Activity. Make sure to filter by 'Activity Type = Appointment' to avoid mixing them with Tasks or Phone Calls.
- ·To see appointments for the full week, set the date filter to 'This Week' using the 'Scheduled End' or 'Scheduled Start' field in the Activities view.
- ·Exporting to Excel requires the 'Export to Excel' button in the command bar. For more advanced reports with charts, you need to configure a Dashboard or integrate Power BI.
- ·Power BI for Dynamics 365 requires an additional Power BI Pro license and data connector configuration.
Open Sales Hub
Log in to Dynamics 365 and select the 'Sales Hub' application from the app menu. If it doesn't appear on your home screen, click the grid icon in the upper left corner and search for 'Sales Hub' in the list of available apps.
Go to the Activities section
In the Sales Hub left navigation bar, click 'Activities'. If you don't see it in the main menu, look under 'My Work' or use the navigation search field to locate 'Activities'.
Switch the view to 'All Activities'
At the top of the activities list, click the view selector (which may show 'My Activities' by default) and select 'All Activities'. This ensures you will see appointments from all team members, not just yours.
Apply the activity type filter
Click the funnel icon (Filter) in the top command bar. In the filter panel that appears, find the 'Activity Type' field and select 'Appointment'. Confirm the filter so the view shows only appointments.
Filter by the current week
With the filter panel still open, add a second filter on the 'Scheduled Start' field. Select the 'This Week' operator or, if it's not available as a predefined option, use 'Is between' and manually enter the Monday and Sunday dates of the current week.
Add the columns you need
Click 'Edit Columns' in the command bar. In the column editor, add the fields 'Owner' (responsible), 'Regarding' (related account or deal), 'Scheduled Start', 'Scheduled End', and 'Status Reason'. Click 'Apply' to update the view.
Review the results in the view
The view now shows all appointments for the current week for all users. You can click the 'Scheduled Start' column header to sort chronologically and visualize the daily distribution of appointments.
Export to Excel
To export the data, select all rows by clicking the top-left checkbox. Then click 'Export to Excel' in the command bar and choose 'Static Worksheet' for a point-in-time export of the current data.
Create a dashboard for recurring visualization
If you need this report on a recurring basis, go to Dashboards in the left navigation menu. Click 'New' and select 'Dynamics 365 Dashboard'. Add a 'Chart' component based on Appointments and configure the period filter as 'This Week'.
Save and share the dashboard
Name the dashboard something like 'Team Weekly Appointments' and click 'Save'. To share it with the team, click the three dots (⋯) next to the dashboard name and select 'Share'. Choose the users or teams to share with and their access permissions.
