Microsoft Dynamics 365 vs Teeo

How to make a daily appointments report

Getting the daily appointments report in Dynamics 365 requires navigating to the Activities view, filtering by Appointment type and today's date, and then exporting or viewing the results. You can also create a custom Dashboard to view it more quickly in the future. The initial process takes 15 to 20 minutes. In Teeo, you request the report with one message and receive it in seconds.

How to make a daily appointments report in Microsoft Dynamics 365: step by step

Requirements

  • ·In Dynamics 365, appointments are a type of activity. To view them filtered by date, you must go to the Activities view and apply manual filters each time you want the daily report.
  • ·Dynamics 365 does not have a predefined 'today's appointments' view. You must create a custom saved view or Dashboard to have quick access to this information without repeating the filtering process.
  • ·Exporting the report to Excel is possible but adds additional steps. Native Dynamics 365 Dashboards are useful for visualization but have limited export options.
  1. Access Dynamics 365 Sales Hub or Customer Service Hub

Log in to home.dynamics.com and open the appropriate app (Sales Hub or Customer Service Hub depending on where you manage your appointments). Activities are available in both apps.

  2. Go to the Activities section

In the left sidebar, find and click 'Activities'. If you don't see it directly, it may be in the 'My Work' section or in the app's sitemap. The list of all system activities will open.

  3. Switch the view to 'All Activities' or 'My Activities'

At the top of the list, click the view selector (shows the current view as 'My Activities' by default). Select 'All Activities' if you want to see all agents' appointments, or keep 'My Activities' if you only need yours.

  4. Filter by activity type: Appointment

Click the 'Filter' button or funnel icon in the toolbar. In the filters panel, find the 'Activity Type' field. Select 'Appointment'. This will filter the list to show only appointments.

  5. Filter by date: today

With the filters panel still open, find the 'Scheduled Start' field. Set the filter with the 'Today' operator. If there is no 'Today' option, manually enter today's date in MM/DD/YYYY format. Click 'Apply' to apply the filter.

  6. Review the filtered results

The list will now show only appointments scheduled for today. You'll see columns with the appointment subject, related contact, start time, status, and owner (assigned agent). Click any appointment to see its full details.

  7. Add additional columns if needed

If you need to see more information in the list (such as meeting type, location, or related customer), click the columns icon in the toolbar. Select the additional columns you want to display. This configuration is not automatically saved to the standard view.

  8. Export the report to Excel (optional)

To export the filtered list to Excel, click the '...' (more options) button in the toolbar and select 'Export to Excel' > 'Static worksheet'. An .xlsx file will download with all data visible in the filtered view.

  9. Save the view for future use (optional)

To avoid repeating the filtering process every day, click the view selector and choose 'Save as new view'. Assign a name like 'Today's Appointments'. Note: views saved with dynamic date filters ('Today') update automatically, but views with a specific date will require manual updating.

Frequently asked questions

Can I view all agents' appointments or only mine in Dynamics 365?

It depends on your permissions. With the Salesperson role you can only see your own activities in the 'My Activities' view. With Sales Manager or Administrator roles you can switch to 'All Activities' to see the whole team's appointments. System administrators have unrestricted full access.

Can I schedule an automatic daily appointments report in Dynamics 365?

Not natively. Dynamics 365 does not have a feature to automatically send reports by email. To automate the daily appointments report delivery, you would need to configure a Power Automate flow that generates and sends the report on a schedule, which requires additional technical knowledge.

Does the Excel export from Dynamics 365 include all appointment fields?

The exported Excel file only includes the columns visible in the view at the time of export. If you need additional fields such as appointment notes, duration, or related records, you must add those columns to the view before exporting, or use the 'Dynamic worksheet' option for a connected sheet that updates automatically.
