Requirements

  1. Search for the lead in Dynamics 365

    In Sales Hub, navigate to 'Leads' in the side menu. Use the search bar to find lead John García, or use the global search with Ctrl+F3.

  2. Open the lead record

    Click the lead's name to open their full record. You will see the form with all contact information, history, and associated activities.

  3. Create a new Task Activity

    In the Timeline section of the lead record, click the '+' icon and select 'Task'. The new task form will open.

  4. Fill in the task details

    In the Task form, complete: Subject = 'Follow up with John García', Description = additional follow-up notes if needed, Due Date = today's date plus 3 days.

  5. Assign the task to the owner

    Verify that the 'Owner' field is assigned to you or the sales rep responsible for the lead. This determines who will receive the reminder notification.

  6. Enable the reminder

    Check the 'Set Reminder' checkbox if available in the form, or verify that the due date is correctly configured. Click 'Save & Close'.

  7. Verify the reminder in Activities

    The task will appear in the lead's Timeline section and also in your pending Activities list. Dynamics 365 will show an in-app notification when the task is approaching or has passed its due date.

Frequently asked questions

Does Dynamics 365 notify me by email when a reminder is due?

By default, Tasks in Dynamics 365 only generate in-app notifications. To receive email notifications, you need to configure a Power Automate flow that sends an email when the task is approaching its due date.

Can I create recurring reminders for periodic lead follow-up?

Yes. When creating a Task in Dynamics 365, you can configure recurrence in the task form. Select 'Recurring' and define the pattern (daily, weekly, monthly). Subsequent follow-up tasks will be created automatically.

Does the reminder disappear from the lead when I mark it as completed?

When you mark a Task as completed, its status changes to 'Completed' and it moves to the lead's timeline history. It does not disappear — it remains as a historical record of the follow-up activity. You can view all completed tasks by filtering the timeline.
