Microsoft Dynamics 365 vs Teeo

How to block time slots in my calendar

In Dynamics 365, blocking a time slot in your calendar is done by creating an Appointment Activity for that period or marking time as unavailable in Outlook Calendar, which syncs automatically. There is no native "block time" button like in modern scheduling tools.

How to block time slots in my calendar in Microsoft Dynamics 365: step by step

Requirements

  • ·Dynamics 365 has no native 'block availability' function — it is simulated with recurring appointments
  • ·Blocks only prevent new bookings if Microsoft Bookings is used as the scheduling front-end
  • ·The recurring appointment is created in Outlook Calendar and is automatically reflected in Dynamics 365
  1. Open Outlook Calendar

Since Dynamics 365 has no native availability blocking feature, the most effective approach is to create the block directly in Outlook Calendar, which syncs with Dynamics 365. Open https://outlook.office.com/calendar.

  2. Create a new recurring event

Click 'New event' in the top left corner. In the form, enter a title such as 'Blocked — Unavailable' and set the start time to 2:00 PM and end time to 4:00 PM.

  3. Set up weekly recurrence

Click the date picker, then 'More options'. In the recurrence section, select 'Weekly' and check only 'Tuesday'. Set the end date to the last day of the current month.

  4. Mark as 'Busy'

In the event options, change the availability status from 'Free' to 'Busy'. This ensures the time appears as blocked on your calendar.

  5. Save the recurring event

Click 'Save' to create all recurring events for the month. Confirm they appear correctly in the Outlook weekly view.

  6. Verify sync in Dynamics 365

Return to Dynamics 365 Sales Hub and navigate to Activities > Calendar View. After a few minutes, the blocks should appear as Appointments synced from Outlook.

  7. Confirm in Microsoft Bookings (if applicable)

If you use Microsoft Bookings as your external scheduling tool, verify that the blocked hours are no longer available for clients to book. The Outlook block propagates automatically.

Frequently asked questions

Does Dynamics 365 have a feature to block time slots directly in the app?

There is no 'block availability' button in Dynamics 365. The native solution is to create an Appointment or mark time as 'Busy' in Outlook Calendar, which then syncs to Dynamics 365 via server-side synchronization.

Do Outlook blocks prevent clients from booking meetings during those times?

Only if you use Microsoft Bookings as your external scheduling tool. Bookings respects Outlook Calendar blocks marked as 'Busy'. If you don't use Bookings, the blocks are only visible within the team.

Can I create recurring blocks directly from Dynamics 365?

Yes, but indirectly. You can create a recurring Appointment Activity from Dynamics 365 by going to Activities > New Appointment and configuring the recurrence. However, the interface is less intuitive than doing it directly in Outlook.
