How to block a day in my calendar
Blocking a full day in Dynamics 365 requires creating an all-day event in Outlook Calendar or an all-day Appointment Activity in Dynamics 365. There is no "mark as unavailable" option for entire days within the CRM itself. The process involves at least two separate Microsoft tools.

Requirements
- ·For the block to prevent new external bookings, it must integrate with Microsoft Bookings
- ·An all-day event in Outlook Calendar appears in Dynamics 365 as an all-day Appointment
- ·If the team uses Dynamics 365 for internal coordination, creating the Appointment in the CRM is sufficient
Navigate to Calendar view in Dynamics 365
In Sales Hub, click 'Activities' in the left sidebar menu. Once in the activities list, look for the calendar icon in the top right to switch to calendar view.
Create a new all-day Appointment
In the calendar view, navigate to the Monday you want to block. Click the day space in the monthly view or the 'all day' strip in the weekly view to create a new activity.
Fill in the appointment details
In the new Appointment form, type the subject as 'Blocked Day — Unavailable'. Check the 'All Day' checkbox so the appointment covers the full 24 hours of the selected day.
Set status to 'Busy'
In the availability status field, select 'Busy'. This is important so that the Outlook sync correctly reflects the block.
Save the appointment
Click 'Save & Close' to register the all-day appointment. The blocked day will appear in the Dynamics 365 calendar view.
Verify in Outlook and Microsoft Bookings
Confirm that the all-day event synced to your Outlook Calendar. If you use Microsoft Bookings, verify that the Monday no longer appears as available for clients to book.
Frequently asked questions
Does blocking a day in Dynamics 365 automatically prevent clients from booking appointments?
Not automatically. Blocking in Dynamics 365 or Outlook is only visible internally to your team. To prevent external bookings you must use Microsoft Bookings, which respects 'Busy' events from Outlook Calendar.
Can I block multiple days at once in Dynamics 365?
There is no multi-day selection feature. You would need to create a separate all-day Appointment for each day you want to block, or create a recurring event in Outlook if the days follow a regular pattern (e.g., every Monday of the month).
Does an all-day block appear differently from a regular appointment in the calendar?
Yes. All-day appointments appear in the top strip of the day in weekly view, separate from time-specific appointments. In monthly view, they appear as a banner across the blocked day.
