How to upload documents to the knowledge base

Copper CRM does not have a native knowledge base. The official workaround is to attach files from Google Drive directly to Contact, Company, or Opportunity records. How to upload documents to the knowledge base in Copper: step by step

Requirements

  • ·Copper CRM has no native knowledge base. There is no centralized section to manage reference documents accessible to the entire team.
  • ·The official workaround is to use Google Drive and link files to specific records (Contacts, Companies, or Opportunities) within Copper.
  • ·Files attached in Copper are not globally searchable; they only appear on the record they are linked to.
  • ·Requires an active Google Workspace account with access to Google Drive.
  1. Log in to Copper

Go to app.copper.com and sign in with your Google Workspace account. Google Drive integration will be available automatically if you have an active Google Workspace account.

  2. Navigate to the record where you want to attach the document

Go to Contacts, Companies, or Opportunities in the sidebar and open the relevant record. For example, if the document applies to a specific client, open that contact.

  3. Locate the 'Files' section within the record

In the record detail view, scroll down to find the 'Files' section. This section shows documents attached to the record and lets you add new ones.

  4. Click 'Add File' or 'Attach from Google Drive'

Inside the Files section, click the 'Add File' button. Copper will show options to upload from your computer or link from Google Drive.

  5. Select 'Google Drive' as the source

Choose the 'Google Drive' option to link an existing file. The Google Drive file picker will open with access to your documents and folders.

  6. Search for and select the document in Google Drive

Use the search bar or browse through folders in the Google Drive picker to find the PDF or other file you want to attach. Click the file to select it.

  7. Confirm the file link

Click 'Select' or 'Insert' to confirm. The Google Drive file will be linked to the Copper record and appear as a link in the Files section.

  8. Verify the file appears on the record

Confirm the document appears in the record's Files section with its name, type, and date. Clicking it will open it directly in Google Drive.

  9. Repeat the process for other records if applicable

If the document needs to be available on multiple records (for example, a technical sheet for several clients), you must repeat the linking process on each record separately.

  10. Share the Google Drive link with the team as a centralized alternative

For the document to be globally accessible to the team without being tied to a single record, create a shared Google Drive folder called 'Knowledge Base' and share it with all team members. Then link that folder from the relevant records in Copper.
