How to create follow-up sequences

Creating automated follow-up sequences in Copper requires the Business plan and the Automation module. The process involves defining a trigger, adding email steps with time delays, and configuring exit conditions for contacts who have already replied. The process takes around 30 minutes. How to create follow-up sequences in Copper: step by step

Requirements

  • ·Automated email sequences (Email Automation) are only available on Copper's Business plan (~$59/user/month). They are not available on Starter or Basic plans.
  • ·Emails are sent through Gmail via the Google Workspace integration. Gmail must be properly connected.
  • ·Copper does not support advanced branching conditions (if/else) in sequences. For complex logic, integration with Mailchimp or ActiveCampaign via Zapier is recommended.
  1. Log in to Copper (Business plan required)

Go to app.copper.com and sign in with your Google Workspace account. Verify your account is on the Business plan; otherwise, the Automation feature will not be available.

  2. Navigate to the Automation section

In the left sidebar, click 'Automation'. This section contains all workflows and automations configured in your account.

  3. Create a new workflow

Click the '+ New Workflow' or 'Create Workflow' button. The visual automation editor will open.

  4. Define the trigger

In the editor, select the event that will start the sequence. For example: 'Opportunity Stage Changed' (when an opportunity moves to a specific stage) or 'Person Created' (when a new contact is created). Configure the trigger filters for your use case.

  5. Add the first step: follow-up email

Click '+ Add Step' and select 'Send Email'. Draft the subject and body of the first follow-up email. You can use dynamic variables like {{first_name}} or {{company_name}} to personalize the message.

  6. Add a 3-day delay before the first email

Before the email step, add a 'Wait' or 'Delay' step. Set the delay to 3 days (72 hours). This delay is calculated from the moment the workflow trigger fires.

  7. Add the second email with an additional 4-day delay

After the first email, add another 'Wait' step of 4 days (to reach day 7 from the start) and then a new 'Send Email' step. Draft the content for the second follow-up message.

  8. Add the third email with an additional 7-day delay

Repeat the process: add a 'Wait' of 7 days (to reach day 14 from the start) and a third 'Send Email' step. This is the final message in the sequence.

  9. Configure the exit condition for replies

To stop the sequence if the contact replies, look for the 'Exit Conditions' option or add a condition of type 'If email replied, stop workflow'. This prevents the contact from receiving further messages after replying.

  10. Review and name the workflow

Give the workflow a descriptive name, such as 'Follow-up sequence 3-7-14 days'. Review all steps, delays, and conditions before saving.

  11. Activate the workflow

Click 'Save' and then activate the workflow using the toggle switch. From this point, any contact or opportunity that meets the trigger conditions will automatically enter the sequence.
