How to block time slots in my calendar
Copper CRM does not allow blocking time slots directly from its interface. Since it syncs bidirectionally with Google Calendar, the way to block time slots is by creating events in Google Calendar marked as 'Busy'. Those blocks are reflected in Copper's activity view. In Teeo, a single message blocks the specified times instantly.
How to do it in Teeo
“Block from 2pm to 4pm every Tuesday this month in my calendar”
The time blocks are registered. No meetings can be scheduled during those times.
How to block time slots in my calendar in Copper: step by step
Requirements
- ·Copper CRM does NOT have a native feature to block time slots in the calendar. There is no 'block time' button anywhere within the platform.
- ·Bidirectional sync with Google Calendar is the standard mechanism: what is created in Google Calendar is reflected in Copper.
- ·To block recurring time slots (e.g., every Tuesday in a month), use Google Calendar's recurring event feature.
- ·An event marked as 'Busy' in Google Calendar prevents booking systems (Calendly, Google Appointment Slots) from offering that time slot to prospects.
Open Google Calendar
Go to calendar.google.com and sign in with the Google Workspace account linked to your Copper CRM. It is essential to use the same account so the block is correctly reflected in the availability synced with Copper.
Navigate to the first Tuesday of the current month
Use the navigation arrows at the top to go to the current month. Switch to the 'Week' or 'Month' view to easily identify Tuesdays. Click on the first Tuesday of the month.
Create a new event at the 2pm to 4pm time slot
Click on the 2:00 PM block on the selected Tuesday. In the box that appears, type a descriptive title like 'Blocked — No Meetings' and then click 'More options' to access the full event configuration.
Adjust the exact block time
On the event editing screen, confirm that the start time is 2:00 PM and the end time is 4:00 PM. Verify the date corresponds to the first Tuesday of the current month.
Set the event as recurring
Find the recurrence field (below the time, usually says 'Does not repeat'). Click on it and select 'Custom'. Choose to repeat 'Weekly' on Tuesdays. Under 'Ends', select 'On date' and enter the last day of the current month to limit the block to this month only.
Mark the event as Busy
In the status field (usually next to visibility options), make sure to select 'Busy' rather than 'Free'. This setting is what effectively blocks the time slot in booking systems connected to your Google Calendar.
Save the recurring event
Click 'Save'. Google Calendar will automatically create the blocking event on all Tuesdays of the current month from 2 PM to 4 PM. If asked whether to save 'This event' or 'All events', select 'All events'.
Verify the block in Copper's view
Log in to Copper (app.copper.com). Go to the activities view or the calendar within Copper. The blocks you created in Google Calendar should appear synced as activities. If you use Calendly or another booking system connected to Google Calendar, Tuesdays from 2pm to 4pm will no longer show availability.
Frequently asked questions
Can I block time slots directly from Copper CRM?
No. Copper CRM does not have a native feature to block time slots in the calendar. The only way to do it is by creating events marked as 'Busy' in Google Calendar, which is the calendar tool synced with Copper. The block is reflected in Copper through bidirectional sync.
Does blocking in Google Calendar prevent prospects from booking meetings during those times?
Yes, as long as you use a booking system connected to Google Calendar. If you use Google Appointment Slots or Calendly linked to your Google Calendar, events marked as 'Busy' will not be offered as available to prospects. If you share the booking link directly, the blocks will be respected.
How long does it take for the block to sync between Google Calendar and Copper?
The sync between Google Calendar and Copper is generally real-time or with a few minutes delay. However, speed can vary depending on your Copper plan and connectivity. In most cases, the event appears in Copper within 5 minutes of creating it in Google Calendar.
