Requirements

  • ·Close CRM does not have a native knowledge base. The closest method is using Notes within a lead or contact.
  • ·For a centralized knowledge base, it is recommended to integrate Close with Notion, Confluence, or Google Drive.
  • ·Notes in Close are visible to the whole team but lack advanced search or categorization.
  1. Log in to Close CRM

Go to app.close.com and enter your credentials. Complete two-step verification if it is enabled on your account.

  2. Decide where to store the information

Close has no native knowledge base. You must choose: use a generic lead as a notes repository, or use an integrated external tool. For this tutorial we will use Notes within a lead.

  3. Create or open a reference lead

Go to the Leads module in the left navigation bar. You can create a lead called 'Internal Knowledge Base' or use an existing one designated for team notes.

  4. Click 'Add Note' inside the lead

Inside the selected lead, find the 'Add Note' button in the activity panel. Click it to open the note editor.

  5. Write the title of the information

In the note text field, start with a descriptive title in uppercase or in brackets, for example: [SERVICES] or [PRICING]. This makes it easier to search later.

  6. Enter the content of the information

Type or paste the content you want to save. Close supports basic rich text. If the information is extensive, consider splitting it into multiple notes by category.

  7. Save the note

Click 'Save Note' to save the information. The note will be recorded with your username and the current date/time.

  8. Verify the note is visible to the team

Confirm the note appears in the lead's activity feed and that other team members can see it. If the lead is private, adjust the visibility permissions.
