How to upload documents to the knowledge base
Close CRM has no native knowledge base with document support. The closest alternative is attaching PDF or other documents to notes in a lead designated for this purpose, or using integrated Google Drive to store and share documents with the team. The process takes about 20 minutes. In Teeo, you attach the PDF to the message and it is indexed instantly.
How to do it in Teeo
“Upload this document to the knowledge base [PDF attached]”
The document is indexed in the knowledge base and the assistant can search and cite its content.
How to upload documents to the knowledge base in Close: step by step
Requirements
- ·Close CRM has no native knowledge base with support for indexed documents.
- ·File attachments in Close notes are not indexed or searchable by content.
- ·For documents the team needs to consult frequently, Google Drive integrated with Close is recommended.
Log in to Close CRM
Go to app.close.com and enter your credentials.
Navigate to the lead designated as document repository
Go to the Leads module and open the lead you use as a knowledge base (e.g., 'Team Documents' or 'Knowledge Base'). Create it if it doesn't exist.
Click 'Add Note'
Inside the lead, click 'Add Note' to open the note editor where you will attach the document.
Write a descriptive title for the document
In the text field, write a title that identifies the document, for example: '[DOC] Product Catalog 2026'. This will make it easier to find later.
Attach the file to the note
Look for the paperclip or attachment icon in the note editor. Click it and select the PDF or document file from your computer. Close supports PDF, DOCX, XLSX, and other common formats.
Add a description of the document's content
In the note body, write a brief description of the document: what it contains, what it is used for, and when it was last updated. This helps the team know what is in the file without opening it.
Save the note with the attached document
Click 'Save Note'. Close will upload the attached file to its servers. Wait for the upload to complete before closing the note.
Verify the document is accessible to the team
Ask a colleague to open the lead and verify they can see and download the attached document. Confirm the lead permissions are correct.
Document the file location for the team
Since Close has no document index, notify the team where to find the file: lead name, note name, and date. Consider creating an 'index' note that lists all saved documents.
