How to create follow-up sequences

Close CRM offers the Sequences feature to automate email follow-up sequences. Available on the Startup plan and above, it allows you to configure messages at defined day intervals. The creation process takes about 25 minutes. In Teeo, you describe the sequence to the assistant and it is active immediately.

Requirements

  • ·Close Sequences are available starting from the Startup plan ($99/user/month).
  • ·Close Sequences are email-based; for call follow-ups, you must create Tasks manually or use Power Dialer.
  • ·Each lead must be manually enrolled in the sequence; there is no automatic enrollment based on CRM conditions natively.
  1. Log in to Close CRM

    Go to app.close.com and enter your credentials. Confirm you have the Startup plan or above.

  2. Access the Sequences module

    In the left navigation bar, click 'Sequences'.

  3. Create a new sequence

    Click '+ New Sequence'. Enter a descriptive name like 'Follow-up 3-7-14 days'.

  4. Add the first step: email at 3 days

    Click '+ Add Step'. Select 'Email'. Set the delay to 3 days from enrollment. Write the subject and body of the first follow-up email.

  5. Add the second step: email at 7 days

    Click '+ Add Step'. Select 'Email'. Set the delay to 4 additional days (7 days from the start). Write the second follow-up email with a different angle.

  6. Add the third step: email at 14 days

    Click '+ Add Step'. Select 'Email'. Set the delay to 7 additional days (14 days from the start). This is the final follow-up email.

  7. Configure automatic pause on reply

    Enable the 'Pause on reply' option so the sequence stops automatically if the lead replies. This prevents sending additional messages to leads who have already responded.

  8. Save the sequence

    Click 'Save Sequence'. The sequence will be saved in draft status.

  9. Activate the sequence

    Use the status toggle to activate the sequence. Only active sequences can receive enrolled leads.

  10. Enroll leads in the sequence

    Go to the Leads module, select the leads you want to include in the follow-up, and use the 'Add to Sequence' option to enroll them. Emails will be sent automatically according to the configured delays.

Frequently asked questions

Can Close automatically enroll leads in a follow-up sequence?

Not natively. In Close CRM, lead enrollment in sequences is manual: you must select leads and add them to the sequence one by one or in bulk. To automate enrollment based on conditions (like 'lead with no response in X days'), you need Zapier or another automation tool.

Do Close sequences include automatic phone calls?

No. Close Sequences are exclusively email-based. For call follow-ups, you can create 'Call' type Tasks manually or use Close's Power Dialer, but these are not part of the automated Sequences flow.
